Effective communication is fundamental to any successful project, and hence an efficient communication plan must be in place. According to the Project Management Institute, a communication plan may process and record the communications’ process, nature, and expectations in an organized manner (Rajkumar, 2010). It is easier for the project manager to keep everybody on track via this plan, and it becomes easier to administer and reduce inevitable changes during the course of the project life cycle.

Identifying Stakeholders

The stakeholders involved in a wedding project environment would be either internal or external. The internal stakeholders would normally consist of the project manager and members of the management team, and the third-party vendors and client involved in delivering the wedding as the external stakeholders. While communication tone may be different between them, updates on a regular basis to all stakeholders are necessary.

Choosing Effective Communication Mediums

The choice of proper communication channels is crucial to the success of the communication management plan. The Project Management Institute is eager to emphasize that poor communication is the underlying reason for more than half of the unsuccessful projects that fail to achieve business goals, as cited in the Pulse communication report (Institute, 2022). To prevent these failures, the communication plan specifically selects mediums on which effective exchange of information among stakeholders can be achieved.

For internal stakeholders, face-to-face meetings are used as the central mode of communication. With this method, there is intensive involvement, and issues of question or concern can easily be addressed. Besides one-on-one sessions, a PDF version of meeting topic details is handed out for convenient reference later.

But external stakeholders mainly use electronic communication, i.e., through email. The medium allows the transmission of different types of files, such as PDFs. External stakeholders may follow up with phone calls if required to explain procedures or data.

At times, external stakeholder communication is a transition from electronic media to face-to-face meetings, especially during key planning times or project closeout. But electronic communication is the default method due to convenience and speed.

Ensuring Smooth Flow of Communications

Maintaining an uninterrupted flow of information is essential for the effectiveness of projects. The tactical project manager recommends holding weekly status meetings with the core team to share updates (Neumeyer, 2022). In communications planning, there is a weekly team meeting to share assignments, tasks, changes, and problems. This system will ensure that important information is shared among members of the team.

As the wedding project goes along, scheduled briefings and meetings allow stakeholders to check information and be aware of what is required in subsequent stages. This forward planning ensures commonality between all members at critical points.

In general, communications are directed at a single point of contact—the project manager. Concentrating at this point minimizes confusion among stakeholders by clearly defining responsibility for the distribution of information. Directed questioning through the project manager results in a controlled and consistent communication process.

Managing Change in Projects

A proactive strategy is crucial in order to manage possible challenges and risks within the project. Being aware of Murphy’s Law—”anything that can go wrong will go wrong” (Webster, 2022)—means that teams are able to anticipate and manage issues accordingly, which is essential to the effective completion of the project.

Scenario: Scope Update

Since change is a natural aspect of any project, let’s consider an illustration of a hypothetical timeline realignment in the planning of a wedding. The following effect results from the change depending on timing; i.e., an adjustment at the beginning of the project is less impactful than changes imposed later.

Here, if the wedding date is moved from December 9th to November 19th, the project timeline reduces from 100 days to 80 days, and that is a reduction of 20%. To fit this change, the client is ready to raise the budget by 20%.

Analyzing Change Impact

A reduction of 20% in the timeline has a substantial effect on all areas of the wedding project. If this is done during the execution phase, it will need schedule-sensitive elements to be rescheduled. There can be issues such as forfeited deposits, increased vendor charges, and increased management charges.

The original schedule providers would either have to pay reschedule fees or simply be unable to work on the new date, potentially leading to deposit losses as well as having to make arrangements for securing additional providers, something that would all equate to more cost.

Apart from this, the management staff would experience higher labor costs and possibly lower morale as they adapt to the new schedule. All of these changes need to be done within a reduced timeline, with the team forced to work at maximum efficiency.

Conclusion

A well-set communication plan is most critical in the project’s health and the management team’s effectiveness improvement. It is easy for every component of the project to be tied up; thus, no variable goes unanswered. When changes occur, the effectiveness of the communication plan will render the effect minimal or dominant.
